Dear ICAMErs,
This year's ICAME conference is less than a month away and we would like to give you an update.
General information
Registration is now closed. There will be a total of around 180 participants in the conference. A preliminary schedule is available on our website (http://www.uio.no/icame2011). We have tried to accommodate all requests concerning time slots.
Travel and arrival
General travel information can be found on the conference website (http://www.uio.no/icame2011).
If you are staying at the conference hotel Clarion Royal Christiania, please check in at the reception upon arrival. There will be a conference registration desk in the hotel lobby on Wednesday 1 June from noon and on Thursday 2 June from 8 a.m. Please make sure you register upon arrival to receive your conference pack with practical information. The conference pack will also include a certificate of attendance and a receipt for the conference fee.
The address of the hotel is Biskop Gunnerus’ gate 3, 0155 Oslo (tel. +47 23 10 80 00). It is across the road from Oslo Central Station. Directions and a map can be found here.
We hope everybody has been able to book their accommodation. Please note that the conference fee of NOK 375 applies only to those staying at the conference hotel, while those staying elsewhere need to pay NOK2355 (the difference is included in the hotel costs for those staying at the Clarion Royal Christiania). Wednesday 1 June: Pre-conference workshops, opening plenary and reception
The pre-conference workshops take place at the conference hotel. Two of them start at 1 p.m. and the third at 2 p.m. See http://www.uio.no/icame2011/workshops.html.
The opening plenary by David Crystal starts at 5 p.m. Please note that this lecture will take place in the Old Ceremonial Theatre at the city centre campus of the University of Oslo (address: Karl Johans gate 47). We will walk there in groups, leaving the conference hotel between 4.15 and 4.30. After the lecture, we will walk to the City Hall for a reception by the Mayor of Oslo (starting at 6.30 p.m.). Participants arriving too late for the plenary, but in time for the reception, will receive information on how to get there from the hotel reception. (See also map here.)
Format of presentations
Papers and Work-in-Progress Reports
The length of presentations will be as follows:
• Full paper / software demonstrations: 20 minutes (plus 10 minutes discussion)
• Work-in-progress report: 10 minutes (plus 5 minutes discussion)
If you have a handout, please bring sufficient numbers of copies. Given that the majority of papers are organised in three parallel slots, we expect an average of around 60 delegates to be in the audience.
Please note that additional copies cannot be made at the conference hotel.
Posters
Posters will be displayed on poster stands in the lobby outside the conference rooms. Posters should be on a single sheet of paper/cardboard, ideally sized A0 (in portrait format). If your poster consists of several smaller sheets, please arrange them on a suitably sized single sheet before coming to Oslo.
Technical equipment
Each conference room will have a PC running Windows 7 and MS Office 2007, incl. PowerPoint. Computers running Linux and MacOS will not be available; if you intend to use an Apple computer, please be reminded to bring any adapters required.
If you plan to use PowerPoint as part of your presentation, the safest option would be to convert your slides into PDF or test your presentation on one of the computers in the conference office (all of which are of identical construction, and offer the same software as those in the conference rooms).
If you have further requirements concerning particular hardware (e.g. loudspeakers), software or fonts, please let us know as soon as possible and we will try to accommodate your requests.
Wireless LAN is available in the conference hotel for all conference participants free of charge.
Excursion
The excursion on Friday 3 June will include a boat trip and a visit to the Viking ship museum. Because of passenger capacity on the boat, lunch arrangements, and the entrance fee at the museum we need to know if any accompanying persons are taking part. Please note that accompanying persons can only be admitted depending on capacity and will need to pay a fee.
Other information
• Please note that Thursday 2 June is a public holiday in Norway (Ascension Day). This means that shops will be closed.
• Those of you who have been to Scandinavia before will know about the high prices here, especially of alcohol; those who haven’t are hereby warned!
• Drinks (other than water plus coffee/tea) are normally not included at lunches and dinners.
