About the printed thesis

The printed version of your thesis must be publicly available before the doctoral examination and must reach the Faculty no later than two weeks before the defence.

If you wish, you may also make the thesis digitally available through the Norwegian Research Information Repository (NVA).

Layout

Format

You may submit your thesis in A4 format; the printing house will carry out the final formatting. Theses are printed in a 17 × 24 cm format. This corresponds to approximately 81% of A4 (29.7 × 21 cm).

Styles

Use styles in Word to ensure a consistent layout throughout the thesis. Styles may, for example, be defined as follows:

  • Body text: 12 pt – Times New Roman
  • Heading 1: 19 pt
  • Heading 2: 14 pt, semi-bold
  • Heading 3: 12 pt, semi-bold
  • Heading 4: 12 pt, semi-bold, italics
  • Heading 5: 12 pt, italics

Customize or create new styles (Microsoft)

Line spacing

The Faculty recommends one-and-a-half line spacing.

Margins

Between 2–3 mm is used for binding, depending on the thickness of the thesis. If you wish the inner and outer margins to be the same, you must take this into account by making the inner margin slightly larger.

Margins adapted to the 17 × 24 cm format:

  • Top margin: 2 cm
  • Bottom margin: 2 cm
  • Outer margin: 2 cm
  • Inner margin: 2.3 cm

Pagination / page numbers

Books are paginated so that odd page numbers appear on the right-hand side and even page numbers on the left-hand side.

Colophon page

A colophon is a short text containing technical information and publication details. In a book, the colophon is normally placed on a separate colophon page at the front of the book, immediately after the title page (page “two”).

As a minimum, the colophon page should contain:

  • © Name, year
  • Title

The colophon page may also, for example, include information about:

  • Department
  • Copyright
  • Printing house

Printing house and contact persons

Deadline for submission

Contact Aksell to agree printing of the manuscript no later than five weeks before the defence. This ensures that the printed thesis can be delivered to the Faculty by the deadline, which is no later than two weeks before the defence.

Number of copies

The thesis must be printed in at least 27 copies:

  • 10 copies for yourself
  • 10 copies for the department
  • 3 copies for the Faculty Secretariat
  • 3 copies for the National Library
  • 1 copy for the University Library

The department covers the cost of printing these 27 copies. You will receive 10 copies, and may order additional copies from the printing house if you wish. You must pay for these extra copies yourself.

  • Of the 10 copies that go to the department, 1 goes to the chair of defence and 3 to the committee members.
  • Of the 3 copies that go to the Faculty Secretariat, 2 go to the Dean’s office and 1 to the archive.

The printed copies of the thesis are delivered to the Faculty and the department; you collect your own copies from the department.

Errata list

You have limited scope to make changes to the thesis before printing, as the thesis must be identical to the version submitted for evaluation. You may therefore not change the substantive content, only technical aspects such as spelling mistakes, missing punctuation, and missing or superfluous references.

If you wish to make such changes, you must send an errata list specifying the changes made (including page numbers) to the Faculty no later than four weeks before the defence. The list is sent by email to the Faculty’s case officer. Note that you should keep the page numbering from the submitted thesis to avoid confusion about page references during the defence.

Appendices

If your printed theses include appendices such as CDs or DVDs, you must attach these to the theses yourself. Contact the department and the Faculty to have this done before the theses are distributed.

Colour illustrations

If the thesis contains more than 40 pages of colour illustrations, you must apply to the department for funding to cover the cost of printing the colour pages, well in advance of submitting the manuscript for printing (if the thesis has 40 or fewer pages of colour illustrations, you do not need to apply).

Write an application of no more than half a page, providing an academic justification for the use of colour illustrations. The application is sent as an email attachment to the department’s research consultant.

Requisition form

You must complete a requisition form for printing the thesis and send it to the research consultant at your department.

Save the form as a Word document and fill in the table marked “Fylles ut av doktoranden” (“To be completed by the PhD candidate”).

If you would like more copies of your thesis than the 10 you are entitled to, enter the desired number in the field “Ekstra eksemplarer til doktoranden” (“Additional copies for the PhD candidate”).

These extra copies will be invoiced to your private address. For such an order, you pay only for the pages printed. The Faculty has already covered the printing house’s fixed costs for order processing, series start-up and delivery.

When the form has been completed, send it as an email attachment (Word file) to the research consultant at your department.

The research consultant completes the remaining parts of the form on behalf of the department, checks your order, obtains the signature of the head of department, and sends the signed version to you.

Ordering printing

The thesis and the completed requisition form must be submitted as PDF files.

The files are sent to Linn Therese Andersen (email), with a copy to the PhD consultant at your department. If you do not receive confirmation of receipt within 24 hours, you may send a copy to post@aksell.no.

When you have received an order confirmation from the printing house, you must forward this to the requisitioner/purchaser at the department for registration in the ordering system. When the printed theses have been received, this must be reported to the requisitioner/purchaser so that the order can be registered as delivered.

Technical assistance

Aksell offers technical assistance to PhD candidates at the Faculty of Humanities at a consultancy rate of NOK 900 per hour.

This cost is not covered by the Faculty. Consultancy fees must therefore be covered by your own funds (project funds or private funds).
