Before submission
Before you submit your thesis, you must have completed the educational component (organised research training) of your PhD programme and be able to document this. You must also ensure that your thesis is fully finalised and that all required accompanying documents are prepared.
Well in advance of submitting your thesis, you must inform the PhD coordinator at your department that your thesis is approaching completion and will soon be ready for submission. You must also send an abstract in Norwegian and English in a Word document. The abstract is to be sent by email to the PhD coordinator at your department.
Prepare your thesis
Proofreading and language
Do not submit a thesis that has not been thoroughly checked from a technical and linguistic point of view. It is a good idea to use an electronic spellchecker to remove language errors, and to check all references carefully.
Although approval of the thesis primarily depends on its academic merits, a linguistically and technically unfinished thesis may irritate the evaluation committee and may contribute to the thesis not being approved for public defence.
It may be a good investment to pay for professional language editing of the thesis. You may allocate project funds to cover these costs. You can also contact your department to ask whether funding is available there to cover language editing.
References and sources
Make sure that all sources used in the thesis are correctly and sufficiently referenced.
The Faculty reserves the right to submit the thesis to a text-recognition/plagiarism detection system to ensure that the doctoral thesis complies with the University of Oslo’s guidelines on good referencing practice and the use of sources.
Prepare the required documents
Abstract
The abstract must:
- be submitted in both Norwegian and English
- if the language of the thesis is neither Norwegian nor English, the abstract must also be submitted in the thesis language
- where several languages are relevant to the subject of the thesis, you may also provide abstracts in these languages
- be no longer than 2,000 characters, including spaces
- present the main findings of your thesis
- It may be useful to start from the research questions and material you have examined, but try to write with a focus on your results, rather than producing a new project description.
The department uses the abstract (in Norwegian or English) to present your thesis in its proposal for an evaluation committee.
If the thesis is approved for public defence, the scientific abstract of the thesis will be archived in The Norwegian Research Information Repository (NVA). The abstract will be archived in the language in which the thesis was written.
Documentation of completed educational component
Before submission, you must have completed the training component. It is your responsibility to document all courses and seminars you have attended that are to be included in the educational component.
The form for documenting participation in the research training must be signed, scanned, and uploaded together with the application and the thesis.
Co-author declaration
Article-based theses often include co-authors for one or more articles. If this applies to your thesis, you must document the extent of co-authorship in each work.
Both you and your co-authors must sign the co-author declaration (odt). The document must be signed, scanned, and uploaded together with the application and the thesis.
Submission of the thesis
How is the thesis submitted?
- The thesis and the accompanying documents are submitted via an online form to the Faculty and HF’s archive.
- Contact the PhD consultant at your department to obtain the link to the online submission form for your thesis.
- The online form requires you to log in with your UiO username and password.
If you have a submission deadline on a specific date, you must submit your thesis by 13:00 on that date, or by 13:00 on the next working day if the deadline falls on a weekend or public holiday.
What must be submitted?
You must submit:
- the online form (application for submission of the thesis)
- the thesis saved as a PDF
- the form documenting participation in the research training
- co-author declaration(s), if your thesis has co-authors
- Sikt’s assessment of the project’s processing of personal data, if relevant
- abstracts in Norwegian and English, and any other languages where relevant (submitted together as a single PDF)
All documents are uploaded via the online form. The signed originals of the co-author declaration and the form documenting participation in the research training must be delivered to the PhD consultant at your department.
Submitting a revised thesis
If you have been granted permission to submit a revised version of the thesis within a deadline of six months, you submit it in the same way as for the first submission. Remember to indicate this in the online form.
In addition, you must upload a covering letter to the evaluation committee titled “Submission of revised thesis”, in which you briefly explain the changes that have been made.
Submitting for a second time
If you submit for a second time, you follow the same procedure as for the first submission.
In the online form, you must indicate that this is a second submission and specify the institution at which the thesis was previously submitted for evaluation.
